Privacy Policy

This policy explains how our association collects, uses and protects personal data, in accordance with Regulation (EU) 2016/679 (GDPR) and the Personal Data Processing Law of the Republic of Latvia.

1. Data controller

2. What personal data we process

  • Contact inquiries: the name, email address, subject, inquiry category and message content you choose to send us.
  • Volunteer data: name, contact details, preferred programme, and — only where required for safety — emergency contact information and relevant health notes you voluntarily disclose before fieldwork.
  • Membership records: data required by the Law on Associations and Foundations for the register of members.
  • Correspondence with institutions: data contained in grant, municipal or verification correspondence.

This website does not use advertising cookies, analytics profiling, tracking pixels or third-party marketing scripts. The contact form does not store submissions on the website; it prepares a message in your own email application.

3. Purposes and legal bases

  • Replying to inquiries — legitimate interest (Art. 6(1)(f) GDPR) in communicating with the public.
  • Organising volunteer activities — consent (Art. 6(1)(a)) and, for safety measures, protection of vital interests (Art. 6(1)(d)).
  • Maintaining membership and accounting records — legal obligation (Art. 6(1)(c)) under Latvian association and accounting legislation.

4. Retention

Inquiry correspondence is retained for up to two (2) years. Volunteer records are retained for the duration of the activity and up to twelve (12) months afterwards. Membership and accounting records are retained for the periods prescribed by Latvian law. Data is deleted or anonymised once the retention period ends.

5. Recipients and transfers

We do not sell, rent or trade personal data. Data may be disclosed only to our email and hosting service providers acting as processors, to public authorities where legally required, and to grant administrators where you have applied for a funded activity. We do not transfer personal data outside the European Economic Area unless an adequacy decision or appropriate safeguards under Chapter V of the GDPR apply.

6. Security

Access to correspondence and member records is restricted to authorised board members. Records are protected by access-controlled accounts and encrypted transport (HTTPS/TLS). Paper documents are stored securely at the registered office.

7. Your rights

  • Access to your personal data and a copy of it.
  • Rectification of inaccurate or incomplete data.
  • Erasure (“right to be forgotten”) where no legal duty requires retention.
  • Restriction of, or objection to, processing based on legitimate interest.
  • Data portability where processing is based on consent and carried out by automated means.
  • Withdrawal of consent at any time, without affecting prior lawful processing.

8. Children

Where minors participate in educational activities, registration and consent are provided by a parent, guardian or the accompanying school. We collect only the minimum information necessary for safety and supervision.

9. Changes to this policy

Updates to this policy are published on this page with a revised date. Material changes affecting existing volunteers or members are communicated by email.
